How to Read Your Merchant Statement (and Spot the Padding)

The only number that matters: your effective rate

Merchant statements are built to be skimmed and filed. Skip the layout tricks and compute one number first:

Effective rate = total fees ÷ total card volume.

If you took $50,000 in cards and paid $1,750 across all fee lines, you're at 3.5% — regardless of what rate you think you signed up for. Most businesses who do this for the first time find a number a full point above the "quoted" rate. That gap is the padding.

The line items and what they really are

  • Interchange / assessments — the wholesale cost, set by the card networks. Identical for every processor. On a clean statement these appear at cost, itemized.
  • Discount rate / processing fees — the processor's cut. On flat-rate and "bundled" statements this is blended with wholesale so you can't separate the two. That blending is a choice.
  • Non-qualified / mid-qualified surcharges — the classic trick of tiered pricing: your "1.79%" teaser rate only applies to a narrow slice of cards, and everything else gets "downgraded" to a higher tier.
  • Monthly / annual fees — statement fee, PCI compliance fee, PCI non-compliance fee (yes, both exist), batch fees, gateway fees, monthly minimums, "regulatory" fees. Individually small, collectively often hundreds a year.
  • Termination clauses — not a fee line, but read for auto-renew terms and early termination charges before you plan a switch.

Five red flags in 90 seconds

  1. Your effective rate is more than ~0.5% above your quoted rate.
  2. The words "non-qualified" or "surcharge" appear anywhere.
  3. You can't find interchange listed at cost as its own section.
  4. You're paying a PCI fee AND a PCI non-compliance fee.
  5. The statement changed format right after your rates changed.

What to do with what you find

Armed with your effective rate, you have two moves: make your current processor requote you in writing on interchange-plus, or shop the statement. Either way, never accept a new "rate" without seeing the markup separated from wholesale cost — a lower headline rate with fatter downgrades is the oldest trick in the book.
